This is a large update with a lot of major changes. The biggest addition is the parts inventory system. this system includes inventory tracking on parts, the ability to create purchase orders and email them to vendors, as well as export to quickbooks, and the shop to shop parts network. There are also big changes with the departments, etc.

Notable Features

  • Parts Inventory
    • All parts now have the option to begin tracking inventory.
    • Once you start tracking inventory, the quantity on hand column on the shop parts page will change from 0.
    • you can manually set the current QOH, and it will add an entry to the change log for QOH.
    • when adding a part to a job, it will take it out of inventory.
    • when ordering a part with a PO or from the need to order page, it will increment the QOH depending on the quantity selected.
  • Overhauled the vendor table
    • Vendors are no longer just a string as a option on a part, and will require a phone or email when created a new one.
    • you can now merge vendors like customer and parts.
    • There is now a vendor history showing all the POs with the vendor
    • MSA vendors will also have a parts catalog page to show all the parts they offer.
  • Purchase orders
    • You can export to Quickbooks as a bill
    • can email to vendors
    • can send directly to MSA vendors internal to the MSA system
    • can add shipping a fees
    • can add parts not on a customer job
    • can mark as ordered and mark as recieved
    • can delete POs
    • can edit POs
    • can populate a customers address for drop shipping
    • can change the vendor if needed
    • purchase order page displays if its been ordered, recieved, exported emailed, and the amount
    • can recieve a partial quantity of a order
  • MSA Vendors
    • Shop settings now has a tab with a garage icon. this is the vendor settings
    • Vendor settings page has a description of what you sell, assign a sales person, and a zone for incoming orders to go to on the jobs page.
    • vendor settings as a table for shops that have requested to connect to you, if you have authorized them, and the discount they recieve off the retail price on your parts that are shared.
    • On the parts page, there will be a new column with a garage icon, and check boxes. items that are selected, will be visible to connected shops for them to see, and order through you.
    • There is now a user notification setting for shops requesting to connect to you
    • Incoming purchase orders from connected shops will become jobs on your page, with the shop as the customer, and the parts they are ordered already on the job. The job goes to the zone you selected in the settings.  As long as you have the notification turned on for new jobs, youll get a notification when you recieve these purchase orders.
    • As a shop, if you go to the vendor page, you will see a list of all the MSA vendors. if you hover over the name of one, the description of what they offer will be visible, and there is a button to request a connection.
    • Once you request a connection, the vendor will approve or reject your request, and you will see it on your vendor list.
    • for vendors you are approved to buy through, you can click on their vendor name and their info will pop-up along with order history and their parts catalog.
    • on the parts catalog, you can add individual parts, or import their entire list to your shop parts table. these parts will continue to be linked directly to the vendor, so if they update pricing, your shop part pricing changes along with it.
    • You can add these vendor parts to a job, and mark them as need to order just like a normal part.
    • Once you have a vendor part on your need to order page, you can add it to a PO, and that PO when submitted goes directly to the MSA vendor when you click mark as ordered. no need to email.
    • Your purchase order table will also indicate if it is a MSA vendor with a green garage icon beside their name.
    • When the vendor adds shipping or updates the PO, it automatically updates your end as wel
  • Added the "applied Date" to payments
    this is specifically for progress billing, when you want to apply a payment to a billing cycle so date range filters dont pick up payments for previous cycles.
  • Task Timers that have been edited are now indicated as such
    They will have a user and date stamp for when it was edited.
  • New shop setting for requiring notes for editing task timers
    This is so that you put a note why it was edited when you edit a time, and it will be indicated beside the timer on the job
  • Added a shop setting that requires comments on tasks when stopping the timer or completing the task.
    This is so the techs record what they worked on before they can stop the timer.
  • Added a filter for departments to the user page on the dashboard.
    This is for larger shops that have empolyees in specific departments, so they dont show up on that page without viewing their department.
  • Added the ability to create multiple estimate zones as well as mutliple completed zones.
    This allows you to catagorize these types of fields and sort jobs in the different zones of the same type.

UI Improvements

  • Made the scroll bars slightly wider
  • Added two columns to the payment report, one for if it has been exported, and one for export date.
  • Added the services to the shop subscription page for Coaching, and for getting started
  • Added a reset password button on the edit user screen. this will send the email directly from the edit user page as a manager helping a tech.
  • On the need to order page, we removed the ability to directly edit part number, vendor and price. instead, we replaced that function with a edit pencil that pulls in the entire job part modal where you can make those changes as well as description, UPC, etc.
  • added the ability to change what columns you see on a table. this applies to most tables.
  • Added the vehicle mileage as an option on the quickbooks export along with the y/m/m
  • Changed how the chat modal loads so that it opens a lot faster. older messages are not loaded unless you scroll up to the top.
  • vehicle trim was added to the job header and work order views
  • Added a user setting for giving a chat pop-up box if you recieve a new message. they will reappear each login until they are marked as read.
  • You can now reorder checklist items within a task
  • completed jobs report can now be sorted by name or date.
  • added the ability to move jobs to the completed zone from the drop down selector inside a job, assuming the job is completed.
  • Added a button on the job task and job part pop-ups along the top, that pulls up the shop part or shop task modal beside it. essentially displaying the parent and the child next to each other.
  • added the ability to create new fees/discounts directly from the shop settings/fee discount page.
  • moved the fees/discounts to be above the pre-tax total, and added a Tax indicator if its taxed or not

Bug Fixes

  • Editing the wholesale price was overwriting the retail price even with no price matrix in place. Added a button to disable the pricing matrix entirely which fixed the problem.
  • Jobs Report
    export all button has been fixed, also added the ability to export all payments along with it
  • Task Groups were retaining old prices from when the task group was created. it now prompts if you want to use the up to date pricing or not.
  • Fixed a bug with tickets on the jobs page being to wide, so the X button to close them out of a zone wasnt visible.
  • Jobs report export was fixed, and the date range filter if applicable is shown in the export for the jobs.
  • fixed a bug where the company name wasnt visible when you had a logo on the print view of the invoices
  • Fixed a bug with the employee service report, where if you clicked on a dot in the graph, it polled data from deleted tasks and added those deleted tasks to the table.
  • fixed a bug that when copying a job from one customer to another, it wasnt retaining the sort order on the work order view.

Additional Improvements

  • Added a shop setting for making address verification on remote CC payments a requirement
  • Automatic appointment reminders you can now select text message, email, or both.
