Updates 3/8/2026
This is a summary of the changes made over the last month. Most of the changes are related to bug fixes and smaller customer requests. The primary new features are the new Shop Profitability Guide, and the task Historical Data which both make it much easier to see into the shops health. Beyond that we have an obvious UI styling change still going through all the pages, and many improvements to existing features.

Notable Features

  • Reports Changes
    • We removed the WIP graph and the number of jobs added graph from the overview page for the reports - the reports werent very valuable with how they were dsplayed
    • Replaced the removed reports with a Daily gross profit graph that shows the break down of the profit from the shop - Total, Hourly tasks, fixed/book time tasks, and parts profit.
    • Added a date range filter for the accounts receivable report. Also added a zone filter, and the option to select which date you filter by (job create date, or all active jobs)
    • Improved the task report to account for quantity on fixed price tasks with quantiy that isnt 1.
    • Added the to-do/internal time to the overview report
    • added the + to add time entries directly from the employee service report.
  • Timers and Time Clock changes
    • Added a shop setting that will automatically clock out everyone at the shops closing time (set in the shops profile). Users will get a prompt to continue working, or automatically be clocked out.
    • Added a shop setting that will lock down a job from starting timers when the authorized dollar amount is exceeded. you wont be able to add new parts or tasks either until more $ has been authorized.
    • Added some shop settings for how time and dates are displayed. First option is to use a 12hr or 24 clock display. second is for international users who prefer to use a DD/MM/YYYY format. the default is how US customers use it MM/DD/YYYY.
  • Job Task Changes
    • Added a setting that allows you to set a shop task to automatically be added to every new job you create.
    • Added a shop setting that makes it so you cannot complete a task unles all the checklist items are completed.
    • added a shop settinbg to add new tasks to jobs view at the top of the job instead of being added at the bottom.
    • Updated the UI for the job task to be in sections. This works better for the various permissions people have, and makes it easier to organize functions.
    • We added a section to the Task modal called "historical data" . The historical data will show you the average time to complete the task, the number of times you have compelted the task, whos best at it, the estimated price, and the 1 sigma distribution for completion times on that task. If you track time on tasks, this makes it very easy to know where you should be charging for it.
  • Job Part Changes
    • Added a shop part "Notes" field that isnt customer visible, but carries over to the job part notes field when added to a job. Useful for task guides, how-tos, etc.
    • When adding a part to a job with inventory tracking turned on, if the quantity on hand drops below the reorder point, we now prompt you to "use stock and mark as stocking order" or "order for this job". this will allow you to work a job without flagging the job part as need to order when you might still have more on the shelf.
  • Shop Profitibility Guide
    • We created a new Guide called the Shop Profitability Guide. This guide will help you track metrics that will show you how to achieve target profit goals by the end of the year.
    • How it works:
      • Step 1 - Put in the end of year total shop bottom line profit you would like to achieve. This is shop profit, which should not include owners salary. This comes from the book "Profit First"
      • Step 2 - Add in your annual Expenses. We included the default catagories usually used in quickbooks, but you can add more.  If you dont have previous years data to work from, put in an estimate of what you think it will be. Also, put in your credit card processing fees and what percentage of sales are paid with CC.
      • Step 3 - Payroll expenses. we added a wage/hr in to the users settings, so you can set what you pay your employees now to help with job profitability. those numbers now track into this report to help determine your shops payroll expenses. Be sure to include all the shops payroll expenses includeing the Owners draw.
      • Step 4 - This will show you your total shop expenses, and the amount of profit we want to achieve by the end of the year. This gives us the total Gross Profit we need to acheive through the year to meet this goal.
      • Step 5 - This is the parts portion of the revenue the shop has. Put in your goal profit margin on parts - we include the current year to date margin beside it for a reference. Also, we have a ratio of what percent of sales are usually parts relative to labor costs on a customers bill. We also include the current year to date value beside it for reference.
      • Step 6 - Hourly Rate. This table shows you all the employees hours they work per week, and what efficiency and productivity you want them to achieve. Beside it will include they YTD actual. Using the number of hours each person works, along with the target profitability, we can calculate how much revenue they will be able to generate for the shop as a minimum. Obviously if they exceed the profitability %, you can make more. likewise, if the work more hours it will also increase it. We total up all the people at the shop who have productive hours, and calculate the total bilalble hours a week can achieve with the goals you have set. Further, at the bottom, we graphed your shops hourly rate with your expenses within the rate to display what the hourly rate needs to be to acheive all your goals. Play around with the slider to see where you can make money.
      • Step 7 - The roadmap. This table shows you the goals you need to meet in order to hit all the revenue targets. We break out the totals by week, so you can vview your currents one week at a time and make adjustments.
      • Step 8 - P&L status. This page shows you an approximate monthly P&L. this page is NOT what you use for taxes or accounting. it is only an approximation based of hours worked and parts added to jobs. Because payments to jobs arent exactly in line with when the work was completed, it will be a different report that you should be using for your actual accounting.
      • Step 9 - Progress Tracker. Once you have filled out the table some, it will default to this page when you view the report. We have added hard coded "notifications" for when things arent reading correct for working with the reports. some examples are adding parts to jobs without a wholesale price. Employees not tracking time on the time clock. Employees below their efficiency and productivity goals. Below the notifications we have graphs to indicate where you are for the week - month - or year. If you hover over any of the graphs it will explain what it is and the numbers to generate the value on the graph. Use these graphs to learn where your shop needs to improve each week to reach your target goals at the end of the year!
  • KanBan
    • We added to the QR code/KanBan system by updating the parts QR code scans. Now, if you scan a part QR code,it will pop up with 3 options, add to job, mark as need to order, or edit part info
    • Add a new label size to the print options for 2x1 labels.
  • Authorization and Inspection System
    • We overhauled the authorization system by added the ability to individually authorize line items on a customers job.
    • This is a shop setting you can turn on to itemize authorizations of by total amount. - its in shop settings - gear tab - job configuration - authoriation type.
    • when turned on, your jobs when sent to a customer for authorization, they can approve or reject any line item on your work order. their selections will show you what they approved or didnt approve so you can work on the project accordingly.
    • Updated the Inspection form to now allow status types for items (i.e. red yellow green selectors).
  • Photos and Files changes
    • We updated the library used for displaying pictures inside a job.  now you can click to view next instead of closing them and opening the next one at a time.
    • We relocated all the files to a dedicated drive for storing all the pictures. While this has no effect on the use of it, it improves some back end functionality for us with serving pictures.
    • We added the ability to mark up photos. any picture you view, now has a pencil icon you can press to draw on the photos for customers to see problems, point out specific things, etc.
    • Fixed an issue where the photos werent wrapping to a new line on the tasks when you had many photos.
    • Added the ability to add photos to any entity. This includes customers, and parts.
    • Reworked the Inspection form to look cleaner and follow the new UI styling.
  • Added Xero Integration
    • in addition to the quickbooks desktop and quickbooks online integration, we now have Xero integration.
    • Xero has most of the same features as QBO integration. real time customer, parts and services sync. Job sync, payments sync.
    • New options incude the ability to have tax inclusive on parts/services prices

UI Improvements

  • Added task checklist items to the job notes modal.
  • Added a Print option to the To-do list.
  • Added a Job Details modal to the jobs page, that if you hover over a job, it will show the details of the job on the right hand panel/modal. this modal is toggled on with the button that looks like a " i " on the jobs page.
  • Added an icon to the shop parts table to indicate if a part is connected to a vendor.
  • When using a mobile device, we added the ability to click on customer phone numbers and automatically pull up to call them.
  • If an estimate has been approved by the customer, we added a green check box to notify the shop that it has been approved.
  • Mobile - when using smaller screen devices, when yougo to edit times on a task or time clock, the date/time selector we were using also pulled up the devices keyboard which would cover up the selectors making it impossible to adjust. We switched to using the date/time selectors native to the devices so that it doesnt pop up the keyboard as well.
  • If you have a job that isnt a vehicle, we no long display the odometer warning for those jobs if that shop setting is turned on.
  • Added the "show all" option for the dashboard - to do tab so you can see all the to dos for the entire shop and not just whats assigned to a single person.
  • The parts Purchase Order Page we added a "Detailed" option that will expand all the POs to display the parts within the PO.
  • Made the Checklists on tasks an option to view on the work order view.
  • Added a "Disconnected" flashing warning if you arent connected to the MSA servers.
  • On the jobs page, we added two new sort options for the zones. you can now sort by priority or by more recent edited.
  • added a toggle for how completed jobs and tasks are colored. With the recent UI styling changes, it made it slightly harder to view in light mode, so the toggle gives you an additional option.
  • changed how the quantity on hand column on the shop parts page works, so if a part is not tracking inventory, it does not display 0, it displays "not tracked"
  • We Added the ability to add multiple phone numbers to a customer. These phone numbers can be toggled to what needs to be the default for the customer and what is used for text messaging.
  • Added a "Show Completed option to the calendar. This will show all completed jobs on the calendar, but they will be opaque so they are obvious that they are completed.
  • Made the part number on the shop parts page right click to copy.
  • Made the shop partspage sortable by reorder point, so it will now put parts with quantity on hand below reorder points to the top of the table.
  • Made it so that you can clear the vendor for a part which frees up the ability to edit the wholesale price. This means you can un-lock parts tied to MSA vendors.
  • Added event history to POs, so you can see when they were emailed, saved, submitted, etc.
  • Added customer notes to the calendar hoverover details.

Bug Fixes

  • Fixed a bug Were the user settings werent setting the dash right hand panel default settings correctly.
  • Fixed a bug with the Left hand navigation bar slider not working correctly.
  • user settings for deparment werent saving correctly.
  • Fixed a bug with the authorization required icons on estimates not loading on log in.
  • Fixed bug where the checklists were coming from the shop task to the job task when added to a job.
  • fixed a bug where the search inside a job wasnt returning any results.
  • fixed a bug related to sending files to admin not showing on your chat screen. The files were sending, but werent visible in the chat until we fixed it.
  • fixed a bug related to the new phone number system not pulling those number options up on the contact customer form.
  • fixed some UI bugs related to typeahead boxes getting stuck on the screen and not going away without a refresh.
  • After changing the label for the admin chat, the notification light stopped working for admin messages to you. we fixed it to look like how it did before(O (red blinking light)
  • more bug fixes related to the red chat notification buttons not going away when you click read all.
  • fixed a bug from the new phone number formatting that was preventing job updates from being sent.
  • fixed a bug with task and part importers.
  • fixed a bug where the task with parts attached subtotal displayed on the task modal wasn't updating as you changed the parts/task prices. it is now real-time.
  • Fixed a bug where you couldnt edit the address of a vendor.
  • Fixed a bug where job searches would show all the jobs, but the show detailed with displaying the tasks on the job wasnt working for the completed jobs on that list.
  • fixed a bug where the tool tips on the dashbaord work completed report werent going away.
  • fixed a bug where editing times on smaller screens (but not mobile) caused the selector fields to appear below the fold so not selectable.
  • fixed a bug that caused the Shopify orders to populate the customer field to the job without refreshing the browser
  • fixed a bugwhere if you have two customers with the same phone number, it was asking you to merge them when creating a new job, but the cancel or the merge werent selecting.
  • fixed a bug where the "add another part" button on the add part screen wasnt working correct
  • fixed a bugwhere changing the shops logo wasnt working. this was related to the file relocation and is now fixed.
  • the jobs report was not displaying the jobs correctly when you selected open blances. the totals were correct but the displayed jobs wasnt showing completed jobs.
  • fixed a bug where setting the time for a job wasnt working without a refresh.
  • selecting a user from the job task modal wasnt saving to the job.
  • fixed a but where trying to undo a shop/stocking part as need to order, wasnt possible.
  • fixed a bug for shops time zone where it wasnt saving to the server.
  • Fixed a bug when deactivating a user, if you have a lot of users the reassign tasks prompt was hiding behind the original deactivate modal so you couldnt complete the process.
  • fixed a bug where the itemized authorizations wasnt working correctly for book time tasks.
  • Fixed some bugs related to job parts on a PO not linking correctly.
  • fixed a bug where tasks with pricing type "none" were showing up on the work order view.
  • fixed a bug where the zones page hover-over detail modal was showing deleted parts.
  • Added some changes to improve the chat where multiple users were talking with the same customer and the messages from other shop users werent visible.
  • fixed a bug where messaging a customer a URL was displaying a warning message for undeliverable message even though the message was delivered.

Additional Improvements

  • Added a user permission for creating fees/discounts.
  • Made the customer chat a user permission
  • improved the phone number selection for new shops so that it will successful buy a number for anyone who wants to add text messaging.
